BEBA Board Meeting

1. Update on Clinic
Sessions:
a. Seeing clients
Tuesdays and Wednesdays, up to 6 a day
b. Tara Blasco is assisting
with some of Ray and Nancy's families
c. Nancy is seeing up
to 4 families Wednesdays
d. Jean now taking on her
own clients, will have 2 as of mid-Oct + 1 co-facilitated with Ray on Tuesdays
e. Observers here up
to 6 / session Ð trainees & graduates paying $15-$20/session
f. Mary Jackson,
Cheriona Menzam, both in Ray's training & c/s training are videotaping
g. Christie Barrack, Rebecca
Holt, Becky Hicks from SBGI videotaping.
h. We have a waiting list of
families to come, especially those who want afternoon or early evening.
2. Update on Brochure
a. Text for a longer
brochure with lots of pictures is with Cherie and John
b. Tara and Sean are working
on a trifold to be given to Cherie & John
c. Photoshoot plus
Ray's shots on his new digital camera = lots of pictures.
d. The rough draft will be
ready some time after Ray returns in late November. It seems unlikely we will
have the big brochure to use this Christmas. We may have the trifold if we ask
them to prioritize that.
3. Update on
Facilities: Castellinos are planning to split the big "concert hall" to make an
office for Ray, hopefully this spring. Once that is done, BEBA could be here
more than 2 days a week. Currently, it is restricted because Ray can't use his
office during BEBA sessions due to sound travel. Moving Ray's office to the
concert hall and having BEBA here more days could transition us until we have
enough money to have a separate location. Jean could see more families. Tara
could start seeing families by the spring. Nancy probably wants to see families
only 1 day a week.
4. Donations from the
board.
a. It is helpful for
granting agencies if each board member contributes something each calendar
year.
5. Update on Budget
and finances.
a. Tara will be
donating at least another $2500 to match BEBA's past expenses in hiring her.
She will continue to donate enough to cover her pay as long as she is an
assistant.
b. We have about $7200 in
the bank (this is about what we started the year with) & $6100 in the
special account. All bills have been paid to date. We still need to cover:
i. Printing brochure & trifold
ii. Database put on Filemaker Ð we haven't done this.
It is not urgent.
iii. Workers Comp insurance
c. Workers Comp worker
said it is ok for Jean to be an independent contractor since she has a
professional license. They said Sandra & any others paid as independent
contractors had to have a business license. Sandra obtained a business license
for $100. For at least this year, Sandra can stay as an independent contractor.
She may want to be paid as an employee next year .If BEBA moves out of the
house, she would have to be since she can be an independent contractor only
when using her own equipment.
6. Information relevant
to decisions to be made by the board
a. In order to work at BEBA from now on, Nancy
Greenfield needs to be paid as an employee, This is because she is now an
M.F.T. intern & cannot work as an independent contractor.
b. We are in the process of
procuring Workers Comp for all employees and contract labor. They exclude
volunteers unless the board requests that so I have requested exclusion.
c. Tara has been
working since February. She has donated over $17,000 to BEBA. She has take home
pay of $8300 and taxes, employee costs of another $1600. Tara is asking for 2
weeks paid vacation in October.
d. Sandra wants to change
payment from 3 different pay ranges 15 for scheduling, 20 for administration,
25 for bookkeeping to one set amount. It is hard to distinguish. Difference for
last 6 months was about $24.50/month.
e. Discussion about
how to distribute the SB Treasures videotape. Cost is $2.50 plus tax =
$2.69/videotape at DAC for quantity of 100.
f. Myrna Martin
was clear she doesn't have time to write a lot of grants but can do this one at
least. She is still considering coming to be our executive director starting
next summer. She will again talk to her husband who cannot work in the US until
she has a green card, which takes about 2 years. She has worked in British
Columbia for the government as a grant writer for health care, wrote a grant
that was approved and started a 'BEBA' program (Strengthening Families) there
paid for by the 3 grants that Myrna wrote.
g. Rent at the Castellinos
house. We are currently being paid $15 for a 1 hour session, $10/hour for
longer sessions plus $50/month for the use of the BEBA office which is full
time BEBA office/waiting room, observation room, etc. This works out to about
$600/month average for the year, $780 the month of August. Castellinos
requested a flat rent, suggested $1000.
h. Discussion of BEBA staff seeing BEBA clients
as private clients. Ray had approved Jean seeing Shumakers off site, going to
the hospital, being paid privately. Now they are working with Jean privately.
i. Sandra noted
that families pay either $150 or between 0 and $82.50 or for sessions. We are
not attracting many people who are in the $80-$150/bracket of BEBA's sliding
scale. The only families paying over $100 are seeing Ray. Nancy had one family
once who paid $120. All who are paying or have ever paid $150/hour are seeing
Ray. No one is currently seeing Nancy or Jean is paying as much what they would
pay to see them privately. Sandra suspects some families in the higher brackets
will not come because of the cost and that these families might come if the
cost was $100. This was discussed at the meeting but the time was after 9 p.m.
and board members had to leave. They agreed to decide this by phone or email
with individual conversations or emails.
