BEBA Board Meeting Agenda 12/2/03

 

  1. Minutes of last meeting 10/3/02 approved?

 

DECISIONS

  1. We would like the board's approval to buy a DVD burner & switch backups to DVD.
    1. Castellinos paid for a DVD burner to try it, we are using it for BEBA Ð Castellinos don't need it, want BEBA to buy.
    2. Chris Wolfe has been making 6 copies a day. He can teach videotapers to do this since he is working only through January.
    3. Purchase cost of DVD burner was about $2400.
    4. McDonough gift of $2000 last year came with a note, "DVD burner?".
    5. Each DVD costs about the same now as miniDV , about $4, ordered $800 worth cause on sale and Chris is here for 2 months can catch up with backups.
    6. Advantages:

                                                     i.     More compact longer lasting than mini-DV tapes.

                                                      ii.     Once on the DVD, they can be easily edited on a computer.

  1. Vacation pay policy needs to be clarified and in writing
    1. There are no federal or state requirements to offer vacation pay to employees no matter how many hours they work or how many months. If you do offer vacation pay, there are rules about when it is paid:
    2. We gave Tara 2 weeks vacation. She's working 13 hours/week. No other employee is offered vacation pay.
    3. BEBA has an employee handbook. Suggest it say in it that BEBA does not offer vacation pay but reserves the right to offer vacation pay to individual employees by board approval.
  2. Nancy and Tara wanting to do Process Workshops under BEBA
    1. Neither can legally work except under BEBA
    2. Attendees would pay set rate, not BEBA sliding scale rate is their thinking
    3. Payment would go through BEBA. We would pay Nancy and Tara only what BEBA actually takes in minus administrative and possibly insurance expenses.
    4. Giving process workshops increases the skills needed for BEBA so would support their skill development.
    5. Insurance question.

                                                     i.     BEBA's insurance which is both slip and fall and malpractice is place specific Ð covers BEBA at Ontare only.

                                                      ii.     Nancy and Tara are being supervised by Cynthia Burnside for their MFT program. She may be able to rent to them and have the insurance to cover it. She is investigating it.

    1. Can board approve their offering Process workshops through BEBA if they have insurance and it doesn't cost BEBA anything?
  1. Requesting board's approval to start a BEBA website.
    1. Castellinos have SBCC student, Forrest Cameranesi who works for $12/hour who did their website www.castellinotraining.com. He has also been doing computer support for BEBA as needed. Check out the Castellino website. We could have him do a BEBA web site.
    2. Advantages

                                                     i.     Have brochure once done + family paperwork + extra testimonials and stories of families.

                                                      ii.     Advantage: Can refer donors, prospective parents to Ð they don't have to make a call first in order to investigate it.

                                                        iii.     Can have more testimonials, etc than in a brochure. Can be more easily updated.

                                                       iv.     Could print less brochures. Print mostly trifolds to hand out at conferences, etc.

                                                      v.     If decide to do, could have website address on current brochure

                                                       vi.     Could have 'how we are doing' reports from BEBA families Ð have someone interview them.

                                                         vii.     Could have all the forms parents need Ð takes Sandra at least one hour to assemble each packet for prospective parents. Ð

                                                          viii.     2/3 of parents decide not to do BEBA once they understand the cost / videotaping / research aspect. This would save staff time. Also, more testimonials would mean more acceptance by community. People who come usually referrals.

    1. Name: BEBA.org is already taken by a Yale student. It is in a foreign language + English. Looks like he's not really using it. We could write & ask if he plans to keep it. Otherwise we need a different name. BEBA.com and BEBA.net are 'parked' no website, but someone has them reserved.
    2. Cost:

                                                     i.     To register name

                                                      ii.     To pay for hosting Ð per year

                                                        iii.     To start Ð maybe $1000.

                                                       iv.     To maintain - $100/month??

  1. Brochures and trifolds Ð print less if have a website.
  2. Myrna Martin requests to use Skyler tapes as a one time experiment
    1. Many people are asking for tapes to use in presentations.
    2. Ray and Wendy have an agreement with the BEBA board about using these. To be discussed at a later time.
  3. Dates of next board meeting
    1. Suggest monthly phone meetings, hopefully shorter
    2. January 6th? Or January 30th if want to meet with Myrna in person.
    3. Would 6:30 work for people?
